Frequently asked questions

Do I need an account to use SiteNotes?

No. SiteNotes does not run any servers and does not create an account. Your data is stored on this device and, if you choose, in your own iCloud through your Apple ID — the same iCloud that holds your Notes and Photos. We never see it.

Where are my recordings, photos, and notes stored?

Everything is stored locally on your iPhone. If iCloud sync is enabled in Settings → Data & About → iCloud sync, your data is mirrored into your iCloud account (Apple's encrypted private container), which lets you read it from another device signed in to the same Apple ID. Nothing is ever uploaded to a Banruo Yang server.

How do I export my logs as a PDF?

Tap the Reports tab → PDF → pick a date range and site → tap Generate. You can email the PDF, save it to Files, or share via AirDrop. PDFs are also archived in Settings → My Reports for re-sending later.

Why does SiteNotes ask for my location?

When you tap the microphone, SiteNotes captures your location once so the log entry can be tagged with the nearest jobsite and the current weather. There is no background tracking and no continuous location collection. You can decline the prompt and SiteNotes will still work — your logs just won't have automatic site detection or weather.

Is my voice sent to a cloud AI?

No. Transcription happens on this device using Apple's Speech framework. SiteNotes does not send your voice to OpenAI or any cloud transcription service.

How do I switch between Site Team and Engineer modes?

Tap the gear icon → Current role card at the top → pick the role. The home screen, AI behaviour, and PDF defaults adjust to that role. You can switch any time and your existing notes are filtered to match the active role.

Can I switch the app's language?

Yes. Settings → Data & About → Language → pick English, 简体中文, or Follow system. The change takes effect immediately. A few error messages and PDF text need an app restart to fully switch.

How do I delete my data?

Settings → Data & About → Erase All Content. This wipes your notes, reports, sites, contacts, recordings, photos, and PDF archives from this device and from your iCloud zone. It cannot be undone. If you are part of a team, dissolve the team first to remove the cloud share.

How do I get my data back to another device?

Enable iCloud sync in Settings on both devices. Your notes, sites, and contacts sync automatically through your Apple ID. Recordings and photos sync too. You can also export everything as a ZIP via Settings → Export All Data ZIP.

The audio sounds wrong / transcript is incorrect

Tap the note → Re-transcribe. SiteNotes will rerun the on-device speech recognition. If the transcript is still wrong, you can tap the text and edit it manually. Add your trade terms via Settings → Custom Terms to improve future recognition.

I found a bug — how do I report it?

Settings → Feedback & Suggestions opens a pre-filled email to banruostudio@gmail.com. It attaches a diagnostic bundle (no personal content — only crash logs, app version, and device model) so we can reproduce the issue.
